My recent experience booking a group event at Spa Space was near-flawless on several counts, but really poor in terms of making a reservation for a group event.
To start, the good parts: Seven of us went to visit the spa as part of a bachelorette party and booked one of their group packages for last Saturday. We all had massages and nail services. Everyone came out super relaxed and our nails looked great. I had the hot stone massage and my back has never felt this good. Spa Space's facilities were clean, the area where you went for the massages was calm & quiet. The staff we interacted with on the day of the event were all very kind. I'd to mention Victoria as being especially helpful.
My problems are all related to booking our group with Felicia, the group coordinator. Again, to start with the positive - my emails with Felicia were all very polite, and she seemed to be quite accommodating. However, there were two rather big items that we agreed on that were either fumbled or denied on the day of the event.
Spa Space requires a 50% deposit for a group event. In our case, this came out to $700. I don't have that sort of money just lying around, so half of us pooled our money together to pay for the deposit. Those of us who payed for the deposit would still owe our portion of the gratuity on the day of, whereas the other half of the girls would still need to pay their full share + gratuity, over $200/per person. I tried to ask in as clear language as possible whether we would be able to pay the remaining balance by splitting it between the 7 of us unevenly. I.E. having those of us who paid for the deposit only pay what we owed for gratuity at check out, while the others would pay the full price they still owed for the services. Felicia replied in the affirmative, that this would be possible.
When we're checking out after our services, the front desk staff were obviously unprepared for this. It seemed clear to me that splitting it up unevenly is not what they usually do. There was talk of refunding the deposit to my card and then having each person pay their full share, an idea that really would have messed things up for half of us and definitely not something Felicia ever mentioned to me. I want to commend the front desk staff here, as they did find a way to accommodate our preferred payment option and in the end it all worked out. Nevertheless, I found this frustrating - I was trying to do my best to have everything set up for a smooth checkout so we could quickly move on to our next big event of the evening. I wish that either the front desk staff would have been informed about our arrangement for payment, or that Felicia would have just told us that splitting the bill unevenly would make a lot more work for all of us and it would have been easier to do it another way.
Secondly, the package we chose included two hours in their private party room. Because of our time constraints, we would only be able to use the private room for about 1:15 hours. Felicia asked if we could start any earlier in the day to get the full use of the room. We could not. I put forth that a discount for the 45 minutes we would not be using the room would be welcome, but not necessary. We were going to Spa Space for the services, flexibility, good reviews, and downtown location. If we had to sacrifice 45 minutes for the private room and still pay full price, then so be it. Felicia came back and said that she'd do one better, and give us a discount as if we were only going to use one hour - $100 off our total for that day to be applied at check out. Wonderful!
When check out actually rolled around, this was not honored, even after I showed them Felicia's email where she stated that we would receive the discount. I was told that it couldn't be done because it was built into the price of the package. If that's the case, then so be it, but why was it offered in the first place? Like I said, the discount wasn't even that big of a deal to us (if it was, I'd be calling Spa Space to get my money back), but I was surprised and disappointed in how this was handled.
Ultimately, I do think I would still go back for an individual appointment. Like I said, everything else was REALLY great! But if I found out Felicia was handling my reservation, group or otherwise, I'd stop it in it's tracks. I don't know where the communication breakdown is, but there seems to be a real disconnect between her and the rest of the staff. read more
