I own a computerized dental practice in Rancho Bernardo and require an IT firm that would be able to respond promptly (within 5 hours) if an operatory computer and/or office server would be down as this would disable an operatory/office. Cue in VistaTech...they did a great job their first two years, however, as they started to gain more clients this two person team couldn't keep up with accounts that needed prompt attention. Infact, their owner, Sue, was often times late to respond to critical service requests and their other owner/technician, Hamed, would not show up at the promised time, making us shift around patients to accommodate for their shortcomings! When it came time this year to renew my annual service contract, I called in Sue to review my frustrations with their service. She acknowledged their many shortcomings, but assured me that things would change and service would return back to normal. With this assurance, I prepaid my yearly contract, and two invoices, one for an operatory PC, the other for an in-office back up device with four hard drives and software for an online cloud back up. It only took a month and a half to realize that nothing had changed. Two service calls were not answered in the promised 5 hour window and the PC that I had prepaid for sat idle in its packaged box for 2 weeks before being installed. The installation process was painful in itself as Hamed commandeered my consultation room with the PC components for days, making the room non-presentable to present cases to my patients. When it came time to install the PC he realized he configured the computer wrong, didn't have the proper DVI to VGA adapter for my overhead monitor and had to scramble for a fix...his solution $50 worth of cables/adapters that could've been solved with a $6 adapter from Amazon. If he had only taken the time to spec the room, he would've had the right configuration when he purchased the PC from Dell. He admitted his mistake and said because of all the trouble he caused he would not charge me for the adapter(s). We mutually agreed to terminate our contract. He then picked up all devices applicable to my onsite back up and agreed to refund such items ($4100). After a few days, Sue emailed what she felt needed to be refunded ($3300). I disagreed with her assessment and emailed her back reminding her that Hamed had picked up all back up devices and that she was missing these in the refund. She also slipped in an extra invoice for the $50 worth of adapters that Hamed promised I would not be charged for, and conveniently deducted from amounts due. Since they never installed back-up software, I also requested a refund ($499), or their proof of purchase with security key. Sue wrote a curt email in return indicating that she would research and get back to me. Several days passed, no refund check or explanation of the withholdings. This prompted an email stressing the urgency of the matter. It seemed as if no email was read as a check came back in the amount of $3300...none of the other refund items were addressed. That day Sue was contacted by phone to inquire about the discrepancies. She in a very rude manner indicated that she will wait for a call from my lawyer. It's very sad when a company that was customer service oriented turns into one that could care less about its service standards. Ultimately my dispute with them is for $799...I'm sure Sue realizes that it's not worth my time to litigate. What's sad, however, is that they don't realize that refunding $799 (that is rightfully owed) isn't worth the bad press! My advise to you: Be careful not to sign a yearly contract with VistaTech, LLC, because if you're owed money when you terminate they will purposely omit and/or add line items to diminish your refund! Furthermore, don't go with them unless you can stomach inconsistent and rushed service calls!
