After my most recent negative review, I was contacted by the new community manager assigned to our HOA, Randy. Immediately different to my prior experience, Randy took over the case, finally giving the issue I raised the attention it deserved. In the weeks since, capable contractors finished first the original plumbing issue, and restoration contractors arrived yesterday to finally close up the ceiling and completed the case. I certainly hope my interactions with Randy isn't the exception but the general trend moving forward with Grayson's tenure managing our community. Businesses get complacent and make mistakes, but what customers want to see is the willingness to own it and get it right. I'm happy to say it's been a pleasant closure to this particular case. read more

Grayson Community Management - A Nightmare of Incompetence I don't even know where to begin with how terrible my experience has been with Grayson Community Management. If you're looking for a competent, responsive HOA, do yourself a favor and stay far, far away from this company. The level of incompetence here is astounding. Simple requests like getting basic insurance documentation? Expect to wait weeks. I've called, emailed, and left messages -- no one ever responds in a timely manner, and most times, they just ignore you altogether. It's like pulling teeth just to get anything done. One of the most frustrating incidents I had with them involved a sprinkler that was accidentally damaged by one of their landscapers. The sprinkler was cut, and as a result, an entire block of units was flooded. I called Grayson repeatedly from 7 a.m. until 2 p.m. -- NO response. At that point, I had to call San Jose Water myself just to shut off the water and stop the flooding. Grayson never called me back, never took responsibility, and didn't even offer to help. I ended up handling the situation myself, while they just... did nothing. If you're looking for an HOA company that actually does its job and responds to emergencies, look elsewhere. All HOAs are frustrating to some degree, but Grayson takes it to a whole new level. Save yourself the headaches and avoid them at all costs. Incompetence like this is beyond frustrating. This company has not lived up to the service that was agreed too at the time that I {HOA President at that time} agreed too. They do not follow through when you call their help desk. They do not follow through when you send them e-mails. They make it difficult to get simple tasks like changing light bulbs, inspection of rotting fences. They make it hard to get on the HOA board when their is current opening. Our HOA fee's are to high for the service that we received. Incompetent at managing even the most basic tasks at a property. The HOA I am part of has gone months after being told during meetings that issues would be addressed, some as small as changing lightbulbs all the way to as large as having mailboxes that are not in service. When reporting issues I am treated as a nuisance by the help desk staff and a response from our property manager comes weeks later in email stating that the issues have been rectified. Those are blatant lies and the problems are not rectified as I stare at these issues months later, today. I don't believe our property manager is capable of managing the 70 plus units on site and I will be rallying my neighbors in the near future to have him and Grayson replaced. Our HOA came to Grayson due to being mismanaged in the past leading to special assessments. Don't make the same mistake we did, the grass is not always greener. read more

Grayson HOA "Management" is hands down the worst company I've ever had the misfortune of dealing with. Horrible Customer Service We live in the Eagle Ridge Community and have had the worst experience with Grayson. We have been waiting for a month to get our solar application approved. We've called the front office and emailed the help desk numerous times with no response. When I finally do get a hold of the receptionist she refuses to give me anyone's direct email or phone number to address my situation. In addition she won't even give me the persons full name, will only provide the first name and initial of last name. I've never experienced this poor level of service especially with an HOA (which I am apart of two as we own another home with a different HOA). I would stay away from this company as they clearly don't value their customers and are negligent in providing even basic communication, such as responding to a simple email or voicemail request. I plan on recommending at our next Board Meeting to look for other management companies as Grayson is not able to provide the bare minimum of service. read more

3 months into agreement with Eagle Ridge HOA - Gilroy CA (5 star community, 940 homes) - I will update review after 6 months. Grayson was recently selected by our Home Owners Association in Eagle Ridge located in Gilroy CA because the CEO, Allan Melkesian and his staff proactively promoted their organization with top customer service. The organization was interviewed by our board of directors and we compared their services to other Management Companies who have more staff and resources. We residents listened to the interviews via Zoom. There were more qualified companies based on resources and size of staff. Grayon CEO confirmed that his organization would work extra hard to earn a feather in the hat. We chose Grayson based on their words and presentation commitment to work hard, respond, and offer the best customer service to a 5 star community of approximately 940 homes. So far the organization is falling short and their words have no meaning. However, we are in the 90 days transition . Here are the results so far: Grayson managers - do not respond to our inquiries and drag their feet to address issues. Accounting department takes 3 weeks to respond to any email or related accounting issues. Next accounting department is still not responding timely, eventhough we have brought these issues up to management and to our on site manager. On site managers - Grayson is suppose to have an on-site manager and they are falling short on this front as well. Phone message service - if Grayon staff answer their phones, this is good. When phone calls go to voicemail, Grayson staff takes weeks to respond or do not respond at all. Grayson managers do not share their mobile numbers - they expect residents to call their help line. We call the help line or send email and they do not respond in the timely 24-48 hours. The staff takes weeks to respond. Many of us in the community have similar experiences and Grayson so far has offered mediocre customer care. There is NO community care or solid customer service to date. They have a supposed 90 day transition plan. We are at 90 days and Grayson continues to fall short. On Yelp, the owners family or friends gives Grayon excellent reviews. Several of the good reviews are not from real home owners in associations they manage, but from friends or family. So far the rating is less than average. I will update my review January/February 2021 to allow Grayson a reasonable timeframe to improve their lagging or lack of customer service.. This company has no regard for customer service. I have had non working FOBs for a couple of months now and unable to access the gym parking or the pool I have called the help desk many times. The community manager has never replied or responded. I am starting to think she is an imaginary character named Yolanda. I'm so unhappy and frustrated with this company. On Wednesday I opened a case because 1 of my key fobs was not working for 1 of the garage gates at my apartment community that is managed by Grayson. Two days later on Friday, all 3 of my key fobs stopped working for all garage and pedestrian gates. Effectively I'm locked out unless I tailgate someone else who opens the gate for me. I've been calling the after-hours emergency number since Friday night when I first noticed the problem getting home from work, and no response from anyone yet. All the call center can do is send a text to the on-call person and hope someone responds. I have called at least 10 times over the weekend and never got a response. We'll see what they say on Monday. read more

This review is for the Grayson Community Management team in charge of the Brickyard Residence of San Jose. I scored them 4/5 based on all the interactions I have had with them over the last 5 years (for some small requests, they were not very responsive). I would score them 5/5 for our last interaction, which was an emergency. I had a leak in my tub on a Sunday evening during a 3-day weekend, and Joseph, from Grayson, picked up the phone right away and called a plumber and water cleaning crew to come that night. thanks to him the leak was stopped 30 minutes later and the room drying started 1 hour afterwards, saving the day. Joseph then followed up, with the help of Ely and Nohemi, and got a contractor to come as soon as the walls were dry to do the repairs. All along the process, the Grayson team was available for my questions. I really appreciated their support. read more

My favorite person related to management and upkeep is Marshall Bates. He might be securitas though. Always responding quickly and willing to listen to a situation before coming up with a good solution (too many people tend to not listen, and hence come up with ineffective solutions). I previously lived in the community of Eagle Ridge and upon selling our home in July of this year, we thought we wiped our hands clean of everything. Well, it turns out the same month we sold, a new HOA company took over for Eagle Ridge residents. , this new HOS company Grayson, is continually attempting to charge us for monthly HOA dues. I sent an email to an account rep stating that I was charge incorrectly for July and September HOA dues, and that there is a new owner there so... kindly refund my money right? Well, this idiot named Kerwin replied with the following: "Do you still have the contact info of the current homeowner of the property? If you do, I think you both should be the ones discussing this matter as the current homeowner didn't pay what should he have paid." The most egregious: sending violation letters, conflating codes to cite the homeowner. Three instances are noted: (1) a solar pipe that was hardly discernible; vendor did not paint it because of visibility and safety. (2) same for another one homeowner. Letters were sent with fines if said work was not completed immediately. Unclear instructions were advised. Board nor Grayson could not offer further advice. (3) another resident was sent a violation letter concerning leaving garbage cans out, citing it violated the time constraint. Said homeowner rechecked and did not violate the rule. Homeowner had two strokes, and homeowner's blood pressure rose, potential 3rd stroke imminent. Other homeowners violate these said infractions and are not cited. In other words, there is favoritism. Minutes are not provided. Some homeowners have major work done, especially board members. How is the pot spent? No transparency-spend however you want. No one will know. Grayson knows on which side the bread is buttered. We ask for sod to be planted on our common area plot that was a muddy mess and a safety issue for a year or more--I lost track. A lawn was promised. We were told it could not be done. In desperation, we spent our own funds and did our lawn. No reimbursement. Finally, during COVID, Grayson did a good job of managing the pool. However, the company is asking for a volunteer to manage the clubhouse. Where is the safety concerning COVID with an indoor activity? read more

I have meant to write this review a while back for the Grayson Management team in San Jose but got a little busy. I had a few issues with my condo at the Brickyard, for example lights out in the back of the complex and a couple of water leaks that Grayson was quick to react and took care of in a very professional manner and always checking in with me. They are a very responsive support team who gives one on one assistance. My emails are always responded to within an hour. And Jose keeps the condo complex clean, see the pool and gym area pics. Grayson is a fantastic community management company that has responded promptly to my questions and requests for service, living here in the Westside Manor condominiums in San Jose. I have emailed more than a dozen times for various questions ranging from approval to install a security camera, help with internet installation, and fixing my backyard fence. Their help desk employees Ely Vista and Nohemi Devora have replied every single time in less than 20 minutes. That is an amazing response time! If you are dissatisfied with your current management's response time to emails and calls, and like the idea of your management community responding in minutes instead of days, I would highly recommend considering Grayson to be your community management. Their community manager Daniel Rivera has overseen our HOA meetings and answered individual homeowner concerns. Daniel has been responsive, courteous, and most importantly in the role of a community manager -- fair and thoughtful. When living in a community of condominiums like we do in Westside Manor, it is inevitable that different homeowners will want conflicting outcomes. A good community manager has to possess the thoughtfulness to choose the most fair and beneficial outcome, and Daniel has consistently done so at our HOA meetings and dealing with the various homeowners. Joseph Zavala and his team at Grayson Management are the best. If I could give them 10 stars I would. I am on the HOA landscaping committee so I work with Joseph closely regarding landscape budgeting and vendors and addressing landscape issues and inquiries . Every time I send him a landscape correspondent, he addresses it promptly ( even during non office hours) . He also provides great vendor recommendations based on his experience with many HOA landscape issues. Joseph is very easy to work with and I would recommend d him to any HOA. Its a shame we ended up with these folks. They have a HelpDesk where all inquiries are filtered. Property Managers that don't give out their names/email addresses to residents. HelpDesk or as I like to call them "HELPLESS" Desk asks for photos for every single incident/issue you report!!! You can't actually speak to your support person, when you call they say they'll call you back within a few hours and then don't call back at all. Basic information takes weeks to chase down, then they give you wrong information. This group was so so so bad that our community had to move to a different community management company. My wife and I have lived at the SJ BRICKYARD since 2006, sixteen years. We value Brickyard's location because of the proximity to Japantown, major freeways, Willow Glen restaurants, Safeway, the YMCA, airport, theaters and medical facilities....a TERRIFIC LOCATION!! Our two bedroom condo suits our needs perfectly. Weekly, the professional landscape crew beautifully maintains the grounds. The same can be said for Jose, the on-site custodian, Jose, who maintains the common areas. The HOA Bd & Management works hard together to meet both short term and long term building needs. The HOA BOARD is always mindful to be financially responsible to keeping the monthly HOA owner dues as low as possible, but at the same time assure the short term and long terms needs of the building are properly addressed. As common as can be found in any large size condo facility, old or new, there are problems to be addressed. However, as shared above, the HOA Board & Management work effectively to problem solve matters. As a former board member, I have personally experienced the effective working relationship needed to get problems solved. Currently, leakage in and around the pool area is being address by the Board; recently, its leadership has led to 176 condo owners passing a $5k special assessment to pay for the million dollar repair. Soon the beautiful pool, spa and BBQ areas will be returned to its resort like feel. Brickyard's location, quiet and well maintained campus, combined with an effective HOA Bd & Mgmt Team has assured a nice quality of life in SJ. read more

My HOA just changed management companies to Grayson. I have been trying to get a hold of someone for days to discuss a fees issue. They never answer their phones and they do not call back when you leave a message. I pay a lot of money for my HOA and this lack of service and communication is unacceptable! If I was just giving a review on Katie, it would be 5 stars. Over the past year, she has responded, in detail, to a couple of emails I sent with small requests. She is thorough, understands my needs and responds within one business day. Thank you, Katie! I attended a Board Meeting and was impressed with Allan, who knew our building in and out. He could recall every vendor, every issue and every item that was addressed without any notes. I don't know how, but he even knew the names of many residents and demonstrated a clear commitment to the building. On the flip side, I was stuck in a bureaucratic black hole and it took months to sort out a financial discrepancy, but the Board stepped in and helped me address the issue to resolve. read more

Stay away from this management company at all costs. The incompetence of the people in this company is beyond anything I have ever encountered. Grayson is the contracted HOA management company for my neighborhood. I submitted a home remodel proposal in late December, and it is now July with zero progress in terms of clear communication. It took over a month to get someone to respond. They apparently do not have a contact number, and the "only way to communicate is via email." After finally receiving a response, there were numerous mix-ups. For instance, they confused my proposal with another homeowner's request to install solar panels, then again with an exterior extension, and a third time with a garage installation. Seriously?! Despite repeatedly asking to escalate the issue or speak to someone live, their response was always, "this is the only way." Grayson, please fire Erlin and conduct thorough background checks to eliminate incompetence. read more

Original Review 8/30/2017: I previously lived in the San Jose Brickyard condo complex which was managed by Grayson Community Management. Generally speaking, my experience with Grayson was extremely varied. On some instances, I received timely and accurate information, but on an equal or greater number of instances I received untimely, incomplete, inaccurate, or misleading information. Ultimately, I resolved all of my issues, but often only after I had exhibited substantially more effort, persistence, and time than I had expected. The staff was often uninformed or ill-informed. A few weeks ago, I received an unsolicited email from Jay who claimed to be a independent quality contractor for Grayson Community Management. I responded to him with a summary of my experience similar to the above. In response, Jay ignored my generally negative feedback, and asked if I wound select from a pre-written list of testimonials which he would then post on the Grayson yelp page on my behalf. All of the prepared testimonials were glowingly positive, and not remotely represented of my experience with Grayson. This appeared to be a marketing effort having nothing to do with quality control. I do not know where our HOA would be without Grayson!! We brought them on at a very difficult time when a newly elected Board had to tease out a variety of complex issues. We could not have gotten things back on track without them! For example, this year alone, James Merced and Jocell Prieto have helped us with: insurance renewals and assessments, special assessments, updating HOA documentation, facilitating meetings, managing aggressive owners, security issues, fire watch, handling new election laws and protocols, legal issues, and getting top-notch vendors out quickly to fix a variety of projects (big and small) at fair prices. They have done this over weekends, evenings and regular business hours during COVID-19, fires, and other 2020 challenges. Yes, they are that good. Not only do they get ALL the job(s) done, but it feels like they REALLY care about us!! THANK YOU James and Jocell for going above and beyond for our community!! So far so good with Grayson. I'll update every few months or so and let Yelpers know how it goes. The only reviews worth noting on here are those from a board member (which I am not, so maybe you should not care about my review either Ha ha) I've been reading the other reviews here and I wish there was a way to review customers here on Yelp. One complaint I see is because they had to wait a few "hours" for someone to show up for their problem. I don't think people realize that these aren't Apartments, these are HOA's and all management companies are off site. Another complaint here is from a RENTER., which everyone who knows how HOAs are run , that the renter of a unit has NO rights or even has a vote and the issues should be brought to your landlord and NOT to the management company.... Now them sending the wrong bill to the wrong unit does make the company look inept but do you really think a bill is going to get paid by a homeowner that did NOT have the work done? Of course not, as I'm sure the bill will get sent to the right place People these days amaze me. I've been to some of our board meetings, these board members have a thankless job and all homeowners do is bitch and complain and if that doesn't work, then just blame the property management company too. I wish those who complained on here or gave one star would sign up to be a board member at their own HOA.... Then they can see how hard it is to run a place with 50 units and 50 homeowners and 50 different opinions on how dues should be spent. It's insane.... I bet 90% of the people that post here don't even go to their own board meetings. It's ridiculous.... Just GO to a board meeting and voice your complaint there to the Board and the Management company, but oh no, it's just too easy to complain here and hide and be a sneaky little weasel who doesn't want to contribute to your own community property which is what HOAs are all about. Have had the pain of dealing with this pathetic excuse for a property management company for weeks. Their service is atrocious. After exchanging countless emails and getting no decent response, I called-in hoping to resolve the issue over the phone only to be told that some of their agents do not have phones - you cannot be transferred to them, nor will they call you.
