I really wanted to leave a 5-star review because my 40th birthday party turned out beautifully. Unfortunately, that was largely due to the incredible vendors and the amount of planning and problem-solving my husband ended up doing himself but not because of the planning service we received from Cassie.
We hired Cassie because milestone birthday parties were advertised as her specialty. We contacted her about three months in advance to plan a Harry Potter-themed backyard party for 40 guests. We had our caterer and magician booked and were looking for someone to bring the creative vision together, manage the budget, coordinate vendors, and handle the details so we could enjoy the planning process.
Cassie's greatest strength is her vendor network. Every vendor she referred us from the tablescape designer, bartender, lighting company, did an excellent job. If you're looking for vendor recommendations, she has great connections. However, for a $3,500 planning fee, we expected much more than introductions.
From the beginning, we hoped for more creative direction. Cassie asked us to send inspiration photos and ideas, but her primary contribution was forwarding them to vendors. There was very little creative input beyond that.
Organization was a major issue. Cassie frequently asked us the same questions, giving the impression that notes weren't being kept or that she was overcommitted. During the initial walkthrough, measurements of our backyard weren't taken. Later, we were asked to measure everything ourselves, and eventually were told a second paid walkthrough was needed because our guest count had increased. After we pointed out that this information should have been documented during the first visit, she agreed to waive the fee.
Budget management was one of our biggest frustrations. We hired a planner in part to help us stay within budget, yet we ended up about 30% over with no proactive tracking or notification. We were presented with only one vendor option instead of choices at different price points, and no suggestions were made when costs kept increasing. We also repeatedly declined a photo booth, yet it continued appearing in proposals until we asked multiple times for it to be removed. Cassie created a budget spreadsheet but never maintained it. The week before the party, my husband updated every expense himself because we needed to know which vendors had been paid. The next day, Cassie sent the spreadsheet back without adding or correcting anything.
Communication with vendors was also inconsistent. Deposit information was delayed or never communicated. In one instance, the backdrop artist booked another event because she never received our deposit. We hadn't paid because we were never told one was due. Throughout the planning process, we often found ourselves following up for invoices, payment instructions, and status updates instead of the other way around.
The week before the party became especially stressful because we were finally being asked about making decisions for linens, menus, florals, candles, and other details that could have been finalized earlier. Several items included in the planning package--such as RSVP tracking, menus, seating cards, party favors, and ongoing budget management--were either minimally handled or not completed.
When my husband raised these concerns the week before the party, Cassie said she needed time to process the feedback so she wouldn't become defensive. The next day she sent an email that didn't address our concerns and instead asked us to focus on moving forward with the party while stating that our final payment was overdue (which according to our contract it was not). Ironically, she finally signed our DocuSign contract that same day, three months after I had signed it.
Unfortunately, many of the same issues carried over to the event itself. Despite being told multiple times which timeline and seating chart to use, the wrong versions were used. Guests entered through the wrong entrance and missed part of the themed welcome experience, and my husband ended up acting as the event coordinator throughout the evening to keep everything on schedule.
Despite these issues, the party itself was wonderful, thanks to the incredible vendors and the effort my husband put into making the event successful. If you're primarily looking for someone with strong vendor connections, you may have a good experience. If you're looking for someone to truly manage your event, stay on top of the details and budget, reduce your stress, and take ownership of the planning process, that was not our experience.
The most disappointing part is that planning my milestone 40th birthday became far more stressful than it should have been.
