I have been a customer of CollaborateMD for over 5 years. In their early years, while they operated…read moreunder the name of "X Gear Technology", the company provided very good customer service. During the last couple of years, service seems to be inversely related to their growth. Problem #1: Charging me for two providers while billing under name and practice. One person, one practice, double charges. They did try to resolve this by basically telling me to bill in one or the other to avoid double charges. Problem #2: Never allow them to automatically charge your debit/credit card on a monthly basis. A one-time payment -- confirmed twice by Accounting employee-- began being debited monthly from the moment the card was used. Problem #3: Did I mention to never give them your card number? Recently, my card was charged TWICE for the monthly fee. The second charge resulted in an overdraft charge....then another.....before being corrected. The Accounting employee told me there was only one extra charge, so they would only be responsible for one overdraft charge. This was ACCOUNTING using this superior reasoning. To be fair, they did try to "resolve" this last issue. However, as a small business owner, a company that I pay (way too much) to do way too little --- I can only spend so much time communicating with them about errors, as sometimes my patients need my time. I would NOT recommend them, if you value your earnings, have a time-limited day, seek accurate accounting, or expect customer care. I give them two stars only because my claims seem to be billed.

I love the Prevail as case management software. The first firm I joined out of law school had an…read moreolder version of Prevail that was highly optimized to track each and every aspect of a Social Security case. That means that the entirety of options in a Social Security case were available. Let's say you signed up a case, the moment the case is activated a task goes out to one person to mail out to Social Security all relevant forms(and of course all relevant forms are printed from the software), another task goes to a second person to search out the exhibit file and a trigger system is activated to follow up at certain intervals to both the Client and Social Security. Let's say a person is denied at initial, the moment you change that status(with date of denial), a series of tasks, deadlines, and letters come up. The saying was, if it is not in Prevail it didnt happen and it was very acurate. When I joined my new firm I tried to create a similar workflow Personal Injury cases. I will say that it was hard work. I have a strong background in the IT field and this made this task easier for me but it still took a long time to get all the merge documents, tasks, appointments, deadlines, tickler system, etc, created, but now our work is significantly easier, more efficient and we are better able to serve our clients. The system is wonderful, though you will want to continue training on it to make it more efficient. One of the point from the prior review is tht you cant add new status types. I just checked my version(Prevail 8) and we absolutely can do that. I am sure that the person had an older version but I wonder if they knew where to make those changes. Again this system is incredibly robust but it will take some time to implement as pretty much everything within can be customized.

Prevail is the worst case management/CRM software solution I have seen in my entire professional…read morecareer. It has huge issues with case status- you can't add new status types (ie, awarded but unpaid), and there are many obvious oversights in the software design; for example, it doesn't update the case status once you complete the task generated when you indicate that an appeal must be filed by such-and-such date. As a result, it is almost impossible to get an accurate picture of your case-load; all case status updates must be done manually. Perhaps the most irritating feature is the 'message list.' There are two options. The first option is that Prevail will steal focus (ie, makes the program 'pop up' in front of whatever program you are using at the time- e-mail, the internet, etc) whenever someone completes a client task you are associated with. The second option is not to receive the messages at all, and not to have any record of the completed tasks that you are associated with. As a supervisor, this would mean you would have no idea when your subordinates complete work. Since that's unacceptable, I have closed about 20 pop-up windows while writing this review. Worst of all, Prevail's reporting capabilities are abysmal. There is a limited menu of options for types of reports you can use, so you will need to compromise to get the information you want, using a report that isn't quite what you need and doing more work to account for the software's shortcomings. To be fair, you can also wait for their people to make custom reports, or try to use their incomprehensible custom report builder (it was designed for their programmers to be able to use). Scandalously, once the program produces a report, it makes a PICTURE. This means that you can't take any of the information from this program and dump into a real program like Excel to get the information you need (unless you enter each datum manually). This program literally has the potential to cause your business to fold, because it is impossible to evaluate success and change your process accordingly without robust, reliable reporting features.
