Suffice to say, it will take you days, if not weeks for a return phone call even when you indicate the urgency of your call. It took them over two months to deliver a simple bridge. The more I inquired about status, the nastier they got. Currently, this bridge broke while I was eating some rice. Called them to talk about resolution and it ended up with a nasty verbal confrontation. The answer is always that they are too busy to return phone calls, which means you can't resolve your issue, EVER. The patient should not have to experience this, especially when they are in pain or distress. I am writing to you today as a typical, loyal patient over the last 10 years as well as my family. It saddens me that I have had to write this letter. I am not usually one to complain and I am quick to forgive and forget, especially when past interactions over the years, have always been extremely positive, but given the high level of frustration and disappointment over such a long period of time, I felt compelled to take the time to do this. The purpose of this letter is to detail a complete breakdown in communications and customer service at the Neibauer Dental Practice located at 5630 Plank Road, Fredericksburg, VA. I must begin by stating that Dr. Madad and her clinical team are EXCEPTIONAL. Their skill, kindness, compassion, and professional support have been outstanding throughout my treatment, and they are not the subject of this complaint. My issues lie entirely with the administrative and management side of this practice, which has demonstrated a lack of accountability and communication. The situation began with the start of my dental work on May 14, 2025, which involved the extraction of two teeth to prepare for a partial bridge. I returned on May 29 for a third extraction and to have the molds created for the partial. An appointment was set for July 9, 2025, for the bridge to be delivered. Upon my arrival, I was informed for the first time that the vendor had broken the mold and that a new digital scan of my mouth would be necessary so it could be sent to the vendor to recreate the mold. The technician was apologetic and promised the case would be "expedited," and I would have the partial in a week or at the most, two weeks. I spent the next several weeks waiting for the call to come in and pick up the partial. I had been walking around with three front teeth missing since the middle of May. On July 28, 2025, I called the office at 8:32 AM, left a detailed message requesting an update, and received no response the entire day. A week later, on August 4 at 3:25 PM, I left another message, this time with a more urgent tone, and again, my call was not returned. At this point, my husband got involved and he called and left a message on August 5 at 12:44 PM, clearly expressing his concern and asking for a return call. No return call. On 8/6/25 he left another message with a decidedly different tone requesting a call back by close of business. Again, no return call. On the morning of August 7, my husband delayed going to work and drove 35 miles to Neibauer, in person to get an answer. He arrived at 9:00 AM to be told by the helpful, friendly front office staff that they had found the bridge and they had just called me and left a voice message to schedule an appt for later in the day. Honestly, they were the heroes of the day. Kudos to them!! When we arrived at 1:00 PM for the delivery of the bridge, my husband and I attempted to speak with someone in charge of office operations. We were informed that the Regional Manager had been in the office earlier in the day but had now left for the day and there was no one on site that could speak to us. The Manager was also not on site at 9:00 AM when my husband arrived earlier that morning. We were told that the Regional Manager was not there and would not be in until next week. When I asked for her email address to send a direct complaint, my request was denied. We were informed that her contact information could not be shared and that there was no one else we could speak to in her absence. I was told a note would be left directly on her PC to return my call upon her return. Who does this in this day and age? and why is there no way to reach anyone via email? There is much more but not enough room to finish. Good Luck! Still sitting here waiting for a return phone call from two days ago!
