Sara was responsive for showing us the property, booking, payments, questions, discussing events,items planned as well as updates I had from vendors. Parking attendants (unfulfilled): Email 2/4/17 "we have two parking attendants that direct the traffic and parking. That's included in your venue rental." There were no parking attendants present for a venue that really needs it (no true parking lot) and various buildings so our guests that drove themselves from the hotel were unsure of where to park on the property. Attendants that were a part of the contract should have been present. Coordination (Unfulfilled) - Poor attitude, lacking work ethic, unorganized, unavailable. The week of the wedding, I called Sara and she switched the day of wedding coordinator from Autumn to Sharon. She said Sharon is great/on-point. I took Sara's word. Complaints from the coordinator directly: She said she is a dental hygienist and has little coordination experience; She said she is not familiar with HVF because she handles Kentuck; was dependent on others for transportation and couldn't guarantee how long she would be there; Sharon didn't know how many family would be there or seating locations, even though we discussed the night before. While I was getting ready she said she was frazzled because of her interactions with the DJ that Sara recommended; She was not able hit play on the slideshows when the DJ they had recommended refused; I called Sharon the week after our wedding to debrief and I heard the same excuses. Concerns from client perspective: Clients pay an extra fee to meet with the actual day of coordinator before the wedding rather than Sara who you work with years or months in advance; Despite paying several hundred dollars to have Sharon there for our rehearsal, review the binder I was giving her, and to show her the setup seemed to have gone to waste; At rehearsal, I tried giving Sharon final deposit payments for some of the vendors that required checks the day of the wedding, but she refused to coordinate that. For most of the morning while I was getting ready, Sharon kept coming over to me with questions that we covered already or could have been avoided if the coordination company had talked to the vendors ahead of time. At the ceremony, the coordinator was shouting at the bus drivers they recommended to the point that guests could take full notice; was MIA for gathering family for portraits; She came to me a few times throughout the reception to ask if we were on schedule despite being given a timeline of each event with time stamps; I had to go to the DJ 3 times throughout reception because Sharon was not ensuring things were announced in order - I had to hand mic to FOB for speech, leading groom and MOB to dance floor; It took long for someone to come and address the men's bathroom trailer being stopped up; No one advised when the coordinator would be leaving she just disappeared; Sara was not seen throughout most of the wedding though she assured us she would be available; Family and friends were joking with us that I was the coordinator given all the running around the barn I had to do.We did not anticipate paying someone to help orchestrate the wedding day and them not committing to it. I'm not sure why our wedding was taken lightly or if we were taken advantage of because we were not locals, but that is no excuse for the unprofessionalism and disorganization that occurred. If you can't trust your wedding coordinator to uphold their role, there truly is no point in having one. My advice is to hire professional staff, train employees, and ensure that if someone truly is "green" that they do not work alone until they feel comfortable and are prepared to handle any situation typical with the role. Recommendations (Inaccurately Directed) - Misleading, poor quality, unprofessional - DJ: Did not go with the vendors that Sara had suggested for hair/makeup and photography. A good decision. Sara referred us to Gary V Productions for DJ. He was scattered, unresponsive, and unorganized. Days before he couldn't say my name correctly. I had to convert and download MP3 songs since Gary did not know how to search and download. He did play our guest requests from our reply cards and specific cultural songs we gave to him. The day of the wedding, we were told that Gary is no longer on their preferred list and has not been for over a year! After all the emails and calls I had to Sara expressing concern with Gary, there was no hint that she would no longer recommend him. He was not willing to press play for family slideshows and insisted he work out of his van rather than in the ceremony site itself.Transportation: We used the bus service that the venue recommended. Buses dropped off ceremony guests at the reception area rather than at the woods. Bus company attempted to double the agreed upon amount the day after the wedding. I used exquisite event planners co for my wedding in September 2018. Not only does Sara own a cute and tasty food truck, she also prepares floral arrangements AND is a wedding planner. She is a one stop shop! Any question I had that another vendor couldn't answer, Sara had an answer for me within hours. I hired her for catering, flowers, and day of wedding coordination. She did everything in her power to make sure my day went smoothly and it did! I did not stress at all.
